Operations Administrative Support

Summary:

The Operations Support Specialist has excellent organizational skills, high attention to detail, is self-motivated and collaborative. Individual is responsible for maintaining a deep understanding of the products and services offered by AAIM to educate members on the best practices and business value of these solutions

Essential Functions:

  • Maintains a deep understanding of the products and services offered by AAIM to educate members on the best practices and business value of these solutions
  • Participates and/or oversees special projects from initiation through completion and resolves various issues as they arise
  • Provides administrative support such as scheduling, facilitating and scribing planning meetings, and small event preparations
  • Coordinates and participates in the preparation of reports and presentations needed for various meetings and events
  • Conducts member training sessions on various technology services
  • Provides feedback from members to enable continuous improvement of the products/services
  • Develop and implement appropriate operational procedures to meet timely and high-quality deliverables
  • Periodically supports background verification services by conducting reference checks, education and employment verifications
  • Provides excellent customer service through timely and professional response to customer questions
  • All other duties as assigned

Supervisory Responsibility:

This position has no supervisory responsibilities.

Position Type/Expected Hours of Work: This is a full-time non-exempt position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m. Evening and weekend work may be required as job duties demand as much advanced notice will be given where possible.

Travel: This position does not require travel.

Required Education and Experience:

  • Bachelor's degree or equivalent experience
  • 3-5 years of experience preferred bonus if experience is in an HR/Recruiting related field

Knowledge, Skills, and Abilities:

  • Proficient written, oral, and interpersonal communication skills
  • Tech savvy and proficient in Microsoft Office, Excel, Outlook, and Word
  • Requires a high attention to detail, strong problem-solving skills, and the ability to work with minimal supervision
  • Strong time management skills with the ability to manage and prioritize multiple tasks to meet deadlines
  • Customer service oriented with the ability to work well under pressure
  • Ability to maintain a high level of discretion and accuracy in dealing with confidential information
  • Strong verbal and written communication skills, including the ability to communicate at multiple levels within an organization
  • Strong planning, organization, prioritization, multi-tasking, and facilitation skills
  • Possesses strong analytical skills and the ability to troubleshoot and solve business and basic technical problems
  • Customer service focused and ability to build rapport with people of diverse backgrounds
